Terms of Use

1. Who we are

DOT Player Passport ("Player Passport", "Passport" or "the service") is provided by Shammy Shack Limited, trading as DOT Sport. Shammy Shack Limited is registered in England and Wales under company number 08155132. Its registered office is 32 Roberts Road, Lancing, BN15 8AR.

2. What Player Passport does

Player Passport is a private, longitudinal sporting record designed to help an athlete keep a multisport record over time.

The current service allows an authorised user to:

• create and manage an athlete Passport;
• add one or more sport profiles;
• record Journey moments;
• record goals and progress;
• record achievements;
• upload and manage private supporting Evidence;
• create controlled, unlisted shares containing only selected Passport information;
• revoke active shares.

Player Passport is not a public athlete directory, scouting marketplace, safeguarding case-management system, medical record, emergency service or professional advice service.

Automatic connections to other DOT apps are not active in the current MVP.

3. Accounts, athletes and persistent identity

A signed-in user account and an athlete identity are separate records.

An athlete may have one persistent Athlete ID across multiple sports and over time. Changing email address, club, school, team, coach or sport should not by itself create a new athlete identity.

Account holders must:

• provide accurate information;
• keep their sign-in credentials secure;
• use only accounts and athlete records they are authorised to access;
• tell us promptly at info@dotsportapp.com if they believe account access or a private share has been compromised.

Player Passport does not silently match or merge athletes by email address, name or other similar details.

4. Adult athletes

An adult user may create a Passport for themselves.

The user confirms that the information they enter is accurate to the best of their knowledge and that they are entitled to create and manage that Passport.

The current adult onboarding records only the minimum identity information required by the service, including athlete name, birth year, optional birth month and jurisdiction.

5. Junior athletes and guardian authority

The current MVP does not provide a direct junior sign-in.

A junior Passport may be created and managed by an adult who expressly attests that they have parental responsibility or equivalent legal authority for that child and accepts the required guardian statements.

The current service records this as guardian attestation. It is not described as independent verification.

A guardian must not:

• create or manage a junior Passport where they do not have appropriate authority;
• knowingly provide false guardianship information;
• use a junior Passport to publish, expose or distribute the child's private information beyond what is necessary for the intended sporting purpose.

The athlete remains the subject of the Passport. A guardian has authority to manage the record; the guardian does not become the owner of the athlete's identity or sporting history.

Future transfer of control to the athlete must preserve the same Athlete ID where reasonably possible.

6. Your Passport content

You remain responsible for information and files you add to Player Passport.

You grant DOT Sport the limited rights needed to host, store, process, secure, back up and display that information to authorised users and to recipients of controlled shares you deliberately create.

You must only upload or record material you are entitled to use.

Do not upload or enter:

• unlawful, abusive, discriminatory or infringing material;
• another person's private information without appropriate authority;
• passwords, access tokens or payment-card information;
• safeguarding case details;
• emergency information;
• medical-treatment records;
• private mental-health journals or other highly sensitive information where Player Passport has not expressly provided an approved workflow for that category.

The service is designed around sporting-development records, not sensitive-case management.

6.1 Special Category Data and Health Information

While Player Passport is strictly designed around sporting development and explicitly prohibits the submission of sensitive safeguarding case management or medical records, you may occasionally choose to upload supporting Evidence that mentions physical characteristics, health conditions, or sports-injury recovery parameters (such as a para-sports classification or a medical training exemption certificate). By explicitly uploading files of this nature, you directly instruct DOT Sport to hold, store, and process this information on the athlete's behalf solely to operate the controlled sharing features you choose to configure. You retain the absolute right to delete these files from your active repository at any moment.

7. Evidence

Evidence is private by default.

Evidence may include files or supporting records that an authorised user uploads to support an athlete's sporting history, achievements or development.

Uploading Evidence does not make it public.

A private Evidence file is made available to a recipient only where it is explicitly selected in a controlled share that is still valid, active and unexpired.

A recipient should not assume that a shared item has been independently verified by DOT Sport merely because it appears in a Passport.

8. Controlled sharing

Player Passport allows an authorised user to create an unlisted share containing selected information.

When creating a share, the user chooses what to include and sets an intended audience and expiry.

A private share link must be treated as confidential. Anyone who obtains a valid link may be able to see the information deliberately included in that share until it expires or is revoked.

Users must share links carefully and revoke them if they are no longer needed or may have been exposed to the wrong person.

Revocation is enforced server-side. A revoked, expired or invalid share should no longer resolve to the protected content.

DOT Sport does not promise that a recipient who lawfully viewed or downloaded information before revocation can be made to forget, delete or return their own copy.

9. Accuracy, provenance and sporting judgments

Player Passport is intended to preserve a useful record of sporting development over time.

Information may come from the athlete, a guardian or, in future, an approved connected source. The service should preserve provenance where relevant.

Unless expressly stated otherwise, DOT Sport does not independently verify every sporting claim, qualification, result, achievement, uploaded document or guardian statement.

Selection, scouting, recruitment, medical, educational and coaching decisions remain the responsibility of the person or organisation making them.

10. Acceptable use

You must not:

• access or attempt to access another athlete's Passport without authority;
• bypass or probe access controls;
• scrape or systematically extract other users' Passport data;
• distribute a private-share link more widely than intended;
• use the service to harass, threaten, discriminate against or exploit another person;
• introduce malicious code or deliberately disrupt the service;
• impersonate another athlete or guardian;
• create false records for fraudulent, deceptive or unlawful purposes;
• use Player Passport as an emergency, medical, safeguarding or crisis-reporting system.

11. Free service and future paid capability

The current useful core Passport workflow is available without payment.

No live Player Passport subscription, paid plan, production advertising or paid checkout is active under this draft.

If paid capabilities are introduced later, their price, renewal, cancellation, refund and entitlement terms must be disclosed before purchase and incorporated into an updated version of these Terms where required.

Ending a future paid entitlement must not by itself erase an athlete's underlying factual or athlete-owned history merely because the commercial entitlement has ended.

12. Availability and changes to the service

We aim to provide a reliable service but cannot guarantee uninterrupted availability.

We may maintain, secure, improve or change the service and may temporarily restrict access where reasonably necessary to protect users, data or the platform.

For a materially adverse change to these Terms or to a future paid recurring service, we will provide reasonable advance notice where practicable unless an urgent legal, regulatory or security reason requires a shorter period.

13. Intellectual property

DOT Sport and its licensors own the Player Passport software, branding, interface and documentation.

These Terms give you a limited, non-exclusive, non-transferable right to use the service for its intended purpose while you are authorised to do so.

They do not transfer ownership of the software or another person's content to you.

14. Suspension and misuse

Where an ordinary breach can reasonably be remedied, we will normally explain the issue and allow a reasonable opportunity to put it right.

We may restrict or suspend access immediately where reasonably necessary because of a serious security risk, suspected illegality, fraud, abuse, unauthorised access or risk to users or data.

Where lawful and reasonably practicable, we will tell the affected account holder the reason and how to contact us.

15. Ending use and account closure

You may stop using Player Passport at any time.

Account closure will not automatically or silently erase an athlete record if another valid, authorized self or guardian relationship continues to actively manage it. Where a final valid relationship ends and a formal deletion request is executed, DOT Sport will permanently scrub or irreversibly anonymize all identifying criteria within 30 days. Minimal operational transaction codes, security log fragments, and statutory rights correspondence metadata will be held securely for up to 24 months solely to prevent platform abuse, fulfill security audits, and defend against potential legal claims, after which they are subject to automated system deletion.

Account closure must not silently:

• destroy an athlete record that is still lawfully controlled through another valid relationship;
• orphan a junior athlete;
• erase information that must lawfully be retained for security, dispute or audit reasons.

Where a valid deletion or erasure request applies, data will be deleted, anonymised or pseudonymised in accordance with the Privacy Notice, retention schedule and applicable law.

Before non-urgent termination that would remove access, we will provide a reasonable opportunity to obtain any available export where lawful and technically supported.

16. Liability and consumer rights

We are responsible for losses that are a foreseeable result of our breach of these Terms or our failure to use reasonable care and skill.

We are not responsible for losses caused solely by inaccurate information supplied by users, unauthorised use not caused by our breach, recipient misuse of information after lawful disclosure by the user, or events outside our reasonable control.

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

Nothing in these Terms affects statutory consumer rights.

Player Passport is a sporting record and development tool. It does not replace professional medical, safeguarding, legal, educational or emergency advice.

17. Privacy

Our Privacy Notice explains how personal information is processed in Player Passport, including athlete and guardian information, private Evidence, controlled shares, support information and first-party product analytics.

The Privacy Notice forms part of the information you should read before using the service.

18. Governing law and disputes

These Terms are governed by the law of England and Wales.

If you are a consumer, you retain any mandatory rights to bring proceedings in the part of the United Kingdom where you live. Nothing in these Terms removes any mandatory consumer protection or forum right that applies to you.
